About Workflows: Workflows automate tasks based on specific triggers, such as sending an email when a response is received. Workflows in Qualtrics can be accessed via the Global Navigation Menu or within a survey project. The latter is the more common use.
Types of Workflows: There are two types of Workflows within a project:
- Event-based Workflows – These are triggered by events like survey responses.
- Scheduled Workflows – These are triggered at specified dates and times.
Components: Event-based Workflows consist of Events, Conditions (optional), and Tasks. Scheduled Workflows consist of Scheduled Time and Tasks. An Event is the triggering action, such as receiving a survey response. Tasks are the output of the Workflow. Sending an email is a common task. Conditions can be used to customize workflows for more precise actions.
Best Practices: Building a Workflow within a survey project is recommended for better tracking and auditing of workflows, but workflows can be stand-alone. Give your workflow a descriptive name.
